Meeting called to order 9:00 a.m. by President Rod Flack. Board members present: Pat Frantz, James Chitwood, Dave Price, Don Mellum, Gary Konop, Lee Schwartz, Larry Myers, Wendi Boos.
Board Election Status: Rod discussed the 2020 board election status with the Rec Center. It was determined that due to the disruption during the Covid-19 shutdown, current Board members will continue in their positions until the next election cycle begins in 2021.
Club Re-opening Plans: The club submitted a plan to provide proper social distancing within the club which was reviewed by the Rec Center. The Rec Center has approved the opening of the Metal Club effective June 8, 2020.
Board members and maintenance team will prepare the club for opening on June 8 and June 9. The official re-opening for the club will be on Wednesday, June 10th. Only club members will be allowed to enter the club; visitors, guests, tours, public requests for work orders, etc., will not be allowed at this time. The board reviewed details for the re-opening that will be included in an e-blast sent to all club members.
Building & Facility Update: Rod reviewed the cost estimates for the alley replacement project. The Rec Center Governing Board approved $250K in the last budget cycle; an additional $410K is scheduled for a vote at the Governing Board meeting on May 28, 2020 (Total Cost = $660K). The project would enclose the building on the south side in 2800 sq. feet with a proper roof, walls, insulation, HVAC, electrical/gas, etc.
Based upon contractor estimates, the project can be completed for a cost of $570K. An additional $90K has been included as a contingency fund for unanticipated expenses resulting in a total project cost of $660K.
The Rec Center Staff asked Rod if the club would be willing to pay for any cost over-runs up to the $660K cap to help facilitate budget approval from the Sun City West Governing Board. The Metal Club board discussed various funding options to cover the contingency cost.
A motion was made by James Chitwood and seconded by Don Mellum to apply the 16% collected from the sale of mailboxes to the Rec Center to fund this contingency amount. This proposed club funding would be capped at an overall project budget of $660K.
Additionally, once the building project has been completed, the club would continue to redirect the mailbox 16% fee towards a Metal Club building reserve fund to pay for future facility needs.
The motion passed unanimously and will be presented for a vote by club members at the September General Meeting.
